Overview

The Sales Operations Associate ensures the accuracy and efficiency of HMA’s business development processes, with a strong focus on Salesforce CRM management, pipeline support, reporting, and serving as a trusted superuser for the sales team. This opportunity is primarily work-from-home, but should be based within driving distance to one of HMA's offices for occasional in-person work.

 

Job Summary

The Sales Operations Associate is responsible for supporting the efficiency and accuracy of HMA’s business development processes. This position maintains CRM data hygiene, drives pipeline alignment, and supports colleagues in navigating system opportunities, proposals, and contracting workflows. The Associate also prepares and distributes regular reporting and analytics, supports pipeline meetings, and partners with record owners to remediate data quality issues. In addition, the role reinforces data standards, develops training and documentation for sales tools, and serves as a trusted superuser resource for the business development team.



Responsibilities

Work Performed and Job Requirements

  • CRM Data Hygiene and Pipeline Record Support
    • Maintains accurate, complete, and timely pipeline records by directly liaising with business developers, including updating records as needed.
    • Drives opportunity next steps and alignment by surfacing gaps or missing information.
    • Serves as a first-line superuser and initial point of contact for colleagues who need help navigating internal opportunities, proposals, or contracting processes.
    • Troubleshoots and advances sales processes that are stuck in internal processes, including proposals and contracts.
  • Reporting and Analytics
    • Builds, refreshes, and distributes weekly and monthly pipeline summaries and trend/quality dashboards to inform leadership utilizing Salesforce, Ironclad, PowerBI, Excel, or similar platforms.
    • Supports pipeline meetings with real-time CRM navigation and/or updates and captures action items.
  • Process and Data Quality
    • Runs routine data quality audits to determine stale stages, missing fields, and duplicates, and drives remediation with record owners.
    • Suggests simple, high-impact tweaks for required fields to improve throughput and accuracy.
  • Documentation & Training
    • Maintains and delivers training, job aids, and quick reference guides for sales tools as needed.
    • Reinforces naming conventions and data standards to upkeep data integrity.
  • All other duties assigned.



Qualifications

Education/Training

Bachelor’s degree in business or a related field preferred. Candidates with significant, directly relevant work experience will be considered in lieu of a formal degree.

 

Experience

Minimum of 2 years of experience in sales administration, CRM support, and reporting analytics. Experience in Salesforce (or comparable CRM), Ironclad (or comparable CLM), Excel, PowerPoint, and reporting tools. Experience with Salesforce report writing and administration a plus. Experience with healthcare or consulting organization a plus.

 

Knowledge, Skills, and Abilities

  • Familiarity with the sales opportunity lifecycle.
  • Familiarity with reporting and visualization tools such as PowerBI.
  • Familiarity with ERP tools such as Deltek’s VantagePoint or comparable system.
  • Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • Strong sales adoption skills.
  • Excellent written and verbal communication skills.
  • Excellent attention to detail and organizational skills.
  • Excellent problem-solving and troubleshooting skills.
  • Ability to thrive in fast-paced environment.
  • Ability to multi-task and adhere to strict deadlines.
